The flow
Send a quote as a PDF. When the customer accepts, it converts to a sales order with the same lines and prices. Enter orders by SKU, name or barcode, and pricing tiers apply automatically.
Shipping part or all of an order moves the stock out of the warehouse, and the shipped quantity becomes a draft invoice. The "shipped but never invoiced" gap closes itself.
The money
A deposit taken before an invoice exists is recorded as a customer liability and applied when the invoice goes out. Refunds on cancelled orders reverse it cleanly.
Returns come back into stock at their original cost, and backorders are tracked line by line until they ship. Drop-ship orders can go straight to a purchase order with your vendor.
